This page tells you how Katie Stewart Wellness Inc. ("KSW," "we," "us," or "our") collects, uses, stores, and protects your personal information when you use katiestewartwellness.com (the "Site"), our digital products, courses, memberships, coaching programs, AI tools, and related services.
By using the Site or any of our services, you agree to the collection and use of information in accordance with this policy. If you don't agree, please don't use the Site or our services.
1. Who We Are
KSW is a Canadian holistic nutrition company based in Ontario, founded by Katie Stewart, RHN. We work with clients worldwide through digital products, online courses, memberships, group programs, 1:1 coaching, and AI-powered educational tools.

2. What Counts as Personal Information
Personal information is any information that can be used to identify you, such as your name, email address, mailing address, phone number, geographic location, purchase history, payment information, health information you share with us, and how you browse and interact with our Site and tools.
3. What Information We Collect
We collect information in a few different ways:
Information you give us directly- Account & purchase info: Name, email, billing address, phone number, payment details when you buy a product, register for a program, or create an account.
- Coaching & health info: When you work with us in coaching programs or order lab testing through us, you may share intake forms, health history, symptoms, lab results, and other health-related information. This is sensitive personal information and we treat it with extra care (see Section 5).
- Communications: Anything you send us through our contact forms, email, social media DMs, ManyChat conversations, or other channels.
- AI tool inputs: When you use our custom GPTs, chatbots, or AI-powered tools, we may temporarily process the questions and information you enter.
Information we collect automatically- Technical data: IP address, browser type, device info, time zone, pages visited, length of visit, navigation paths, and referral sources.
- Cookies & tracking: We use cookies and similar technologies to understand how visitors use the Site and to deliver relevant content and ads. See Section 8 for details.
Information from third parties
We may receive information about you from payment processors (like Stripe), our advertising partners (like Meta), and analytics providers (like Google Analytics).
4. The Tools and Platforms We Use
To run our business, we use trusted third-party platforms. Each one has its own privacy policy, and we recommend you review them. The platforms that touch your personal information include:
- Kajabi – hosts our courses, memberships, and some checkout flows
- Practice Better – hosts our coaching programs, intake forms, client notes, and lab testing (PHIPA/HIPAA compliant)
- SamCart & ThriveCart – process some checkouts
- Stripe – processes payments
- GoHighLevel – manages our email marketing and CRM
- Google Workspace (Drive, Forms) – stores administrative client information
- Unbounce – hosts some landing pages
- ProveSource – displays social proof notifications on our site
- ManyChat – manages our Instagram and Facebook DM automations
- Meta Pixel & Google Analytics – help us understand site traffic and run advertising
- OpenAI & Anthropic – power our AI tools and custom GPTs (see Section 6)
We choose partners who take data security seriously, but ultimately your information is also subject to their terms.
5. Sensitive & Health Information
Because we work in holistic nutrition, some of you will share health information with us as part of coaching programs, lab testing, or intake forms. This includes things like symptoms, medical history, lab results, supplements you take, and lifestyle details.
We treat this information with extra care:
- It's stored in Practice Better, a PHIPA and HIPAA compliant client management platform.
- It's only accessed by Katie and authorized members of the KSW team who need it to support your care.
- We never sell, trade, or share your health information with advertisers, marketers, or any third party for marketing purposes.
- We don't input your identifying health information into general AI tools.
6. AI Tools & How We Use AI
KSW uses artificial intelligence in a few different ways:
- Behind the scenes: AI assists with content creation, research, and admin work.
- Inside our courses and memberships: Some of our programs include AI-powered features.
- Public and client-facing AI tools: We offer custom GPTs, chatbots, and AI-powered HTML tools for education and self-assessment.
The AI tools we use are powered by Anthropic (Claude) and OpenAI (ChatGPT and custom GPTs). When you interact with one of our AI tools, your inputs may be processed by these third-party providers according to their own privacy policies and data handling practices.
Important: Please don't enter personally identifying health information, full names, or other sensitive personal details into our AI tools. These tools are designed for educational and self-assessment purposes only and are not a substitute for personalized professional care. See our Terms of Use for the full AI tools policy.
7. How We Use Your Information
We use your information to:
- Deliver the products, programs, and services you've purchased
- Process payments and keep transaction records
- Communicate with you about your account, purchases, and program details
- Send you marketing emails and educational content (only if you've opted in)
- Personalize your experience on the Site
- Run and improve our AI tools and digital products
- Show you relevant ads on platforms like Facebook, Instagram, and Google
- Understand how visitors use our Site so we can make it better
- Comply with legal, tax, and accounting obligations
- Protect our business, our clients, and our rights
8. Cookies & Tracking
Like most websites, we use cookies and similar tracking technologies. Cookies are small data files that get stored on your device when you visit a site.

- Show you relevant ads on Facebook, Instagram, and other platforms (via Meta Pixel)

Note that blocking some cookies may affect how the Site works for you.
9. Marketing Communications
If you've signed up for our email list, opted into a freebie, made a purchase, or asked us about our services, we may send you marketing emails with educational content, offers, and updates.
You can unsubscribe at any time by clicking the unsubscribe link at the bottom of any email, or by emailing us at support@katiestewartwellness.com. Unsubscribing from marketing emails won't stop transactional emails (like order confirmations, program updates, or billing notices), since those are part of delivering the services you've purchased.
10. Sharing Your Information
We do not sell, trade, or rent your personal information. We share it only in these limited situations:
- Service providers: The platforms listed in Section 4, who help us run our business and only process your data on our instructions.
- Professional advisers: Lawyers, accountants, and insurers when needed.
- Legal requirements: When required by law, court order, or to protect our rights, property, or safety, or the rights of others.
- Business transfers: If KSW is ever sold, merged, or restructured, your information may be transferred as part of that process.
We require all third parties to respect the security of your personal information and to handle it in accordance with the law.
11. International Data Transfers
KSW is based in Canada, but we serve clients worldwide. Some of our service providers (including Stripe, Meta, Google, OpenAI, and Anthropic) are based in the United States and other countries. This means your personal information may be transferred to, stored in, and processed in countries with different privacy laws than your own.
We take steps to ensure your information is protected wherever it's processed, including by working with providers who offer recognized safeguards (like Standard Contractual Clauses for EU/UK data transfers).
12. Data Retention
We keep your personal information only as long as we need it to fulfill the purposes we collected it for, including legal, tax, and accounting requirements.
- Tax and financial records: Kept for 7 years after your last transaction, as required by Canadian tax law.
- Coaching notes, intake forms, and lab results: Kept in Practice Better for 10 years after your last interaction with us. This retention period reflects best practices for health-adjacent practitioners and allows us to meet our legal, professional, and insurance obligations, and to defend against any potential legal or regulatory claims. You may request deletion at any time by emailing support@katiestewartwellness.com, but please note that we may retain certain records where required by law or to establish, exercise, or defend legal claims. In those cases, the records are archived and no longer actively used until the retention period ends.
- Proof of consent and terms acceptance: Kept for the duration of our relationship plus 10 years.
- Email subscribers: Kept until you unsubscribe.
- AI tool conversations: Handled according to the data retention policies of our AI providers (Anthropic and OpenAI).
In some cases we may anonymize personal information for research or statistical purposes, in which case we may keep it indefinitely without further notice to you.
13. Your Privacy Rights
Depending on where you live, you may have the following rights regarding your personal information:
- Access: Request a copy of the personal information we hold about you.
- Correction: Ask us to correct any information that's inaccurate or incomplete.
- Deletion: Ask us to delete your personal information (subject to legal retention requirements).
- Portability: Request your information in a portable format.
- Object or restrict: Object to certain uses of your information or ask us to restrict how we use it.
- Withdraw consent: Withdraw your consent at any time where we rely on consent to process your information.
- Lodge a complaint: File a complaint with your local privacy regulator (in Canada, this is the Office of the Privacy Commissioner; in Quebec, the Commission d'accès à l'information; in the EU/UK, your local supervisory authority).

14. Children's PrivacyKSW's products and services are intended for users aged 16 and older. We do not knowingly collect personal information from children under 16. If you believe we have collected information from a child under 16, please contact us immediately so we can delete it.
15. Data Security
We've put security measures in place to protect your personal information from being lost, misused, accessed without authorization, altered, or disclosed. These include:
- Secure, password-protected platforms
- SSL encryption for sensitive data and payments
- Limited access to personal data on a need-to-know basis
- PHIPA/HIPAA compliant storage for health information (Practice Better)
No method of transmission over the internet is 100% secure, but we work hard to protect your information and we have procedures in place to handle any suspected data breach. If a breach occurs that affects you, we'll notify you and any required regulator as the law requires.
16. Third-Party Links
Our Site may include links to third-party websites, products, or services (including affiliate links). These sites have their own privacy policies, and we have no responsibility or liability for their content or practices. We recommend reviewing the privacy policy of any site you visit through one of our links.
